STUDIO TIME

  • Your session starts and ends within the designated timeslot. Do not enter the studio earlier without permission. Please allow time for cleaning and resetting the studio. Overtime will be charged in 30-minute increments.

Cancellation & Credit Policy:

  • Non-Refundable Bookings: All bookings are non-refundable. However, if you cancel your booking prior to the scheduled session, we will issue a one-time credit for future bookings.

  • More than 24 Hours Notice: If you cancel more than 24 hours before your scheduled time, a 20% cancellation fee will apply, and the remaining balance will be issued as studio credit.

  • Less than 24 Hours Notice: Cancellations within 24 hours of your booking time are not permitted. You will be liable for the full value of the booking, and no credit will be issued.

  • Credit Redemption: Credits must be used within 90 days of issuance.

  • Unused Time: Please note that no credit will be given if the full booking time is not utilized on the day of your session.

RESCHEDULING BOOKINGS:

  • Within 24 Hours: We do not accept any changes to your booking within 24 hours of the scheduled time. In this case, you will be liable for the full value of your reservation.

  • More than 24 Hours in Advance: If you reschedule your booking more than 24 hours before your appointment, a rescheduling fee of 20% of the booking value will apply.

CLEANING

  • Basic cleaning supplies (paper towels, dustpan, brush, vacuum) are available in the studio. If additional cleaning is required or if furniture needs to be returned to its original arrangement, a minimum $50 fee will be applied.

FLOOR CARE – EPOXY FLOORS

  • The studio features brand-new epoxy floors, which must be treated with care.

  • No outdoor footwear permitted. Furniture, props, and equipment must be lifted, not dragged.

  • All stands, tripods, ladders, and equipment must have rubber feet or floor protection.

  • Spills must be reported and cleaned immediately.

  • Damage caused by scratching, dragging, staining, or improper use will result in cleaning or repair fees.

FURNITURE CARE – WHITE CASHMERE COUCH

  • The studio includes a white cashmere couch, which requires strict care to maintain its condition.

  • No denim (especially dark or unwashed jeans).

  • No shoes on the couch.

  • No spray tan, body makeup, oils, or similar products.

  • No food or drinks near the couch.

  • If clothing may transfer color, a protective blanket or throw must be used (provided in the studio).

  • Failure to follow these guidelines may result in additional cleaning or replacement fees.

FOOD & DRINK

  • Food is not permitted in the studio. If food is brought in, a $50+HST cleaning fee will be charged. Eating areas are available in the hallway and lounge across from the studio. Please do not place food on props or furniture.

PETS

  • Pets are welcome but must be supervised at all times. Pets are not allowed in the common areas of the Activityplex. Pets are not permitted on props or furniture. A $50+HST cleaning fee will be charged for pet photography sessions to cover additional cleaning. Please select the pet fee add on at time of booking.

CAKE SMASH SESSIONS

  • For cake smash photography, a $50+HST cleaning fee will apply to cover extra cleaning needed to remove cake residue and allergens. No food is allowed on props or furniture. Please select the cake smash fee at time of booking.

PROPS

  • Please return large props and furniture to their original positions at the end of your session. Damage to props or furniture will incur repair or cleaning fees. Do not Drag anything on the floors

LADDER & SWING USE

  • The vintage ladder is a decorative prop and is not to be climbed. The swing is available at your own risk; The Nook Studio is not responsible for any injuries resulting from improper use of props.

SEAMLESS WALL PULLEY SYSTEM

The studio features a single seamless wall pulley system. Additional seamless paper colours are available; however, only one seamless may be mounted at a time.

Usage & Colour Changes

  • Seamless colour changes are a two-person job

  • Renters are responsible for swapping seamless paper safely

  • If assistance is required from The Nook Studio team, a $50 + HST assistance fee will apply

  • Please notify us in advance if assistance is needed

How to Use the Seamless Pulley

  • Lower and raise the seamless slowly and evenly using the chain

  • Guide the paper straight down to avoid creasing or telescoping

  • Ensure the chain is fully engaged before releasing

  • Do not pull, drop, or force the seamless

Safety Guidelines

  • Do not stand directly underneath the roll while raising or lowering

  • Do not climb, hang, or apply body weight to the seamless or pulley system

  • Keep children and clients clear while the seamless is in motion

  • Use proper step stools or ladders only — never furniture

Floor Protection & Tape Policy

  • Do not use tape on the floors under any circumstances

  • Tape residue damages epoxy flooring and will result in cleaning or repair fees

  • If securing the seamless or props, please use the provided weights only

Care & Responsibility

  • Do not tear, cut, mark, tape, or write on the seamless paper

  • Do not allow shoes, props, or furniture to rest against the paper

  • If the seamless becomes excessively dirty, torn, or damaged, replacement fees will apply

  • Seamless must be left rolled up neatly at the end of your session

Damage caused by misuse, improper handling, or failure to follow these guidelines may result in repair or replacement charges.

SMOKING & VAPING

  • Smoking, vaping, and the use of recreational drugs are strictly prohibited on the premises.

FOOTWEAR

  • Please remove outdoor footwear upon entering the studio and place it on the mat provided. Disposable shoe covers are available in the basket by the front door. Shoes are not permitted on furniture.

CANDLES & OPEN FLAMES

  • Candles, open flames, dry ice, sparklers, and smoke machines are not allowed in the studio due to the risk of fire and damage to surfaces.

GARBAGE DISPOSAL

  • Please remove all waste and recycling when leaving the studio. Garbage and recycling bins are located in the west parking lot. A $50 fee will be charged if garbage is left behind.

NOISE

  • Please be considerate of other tenants and keep noise levels reasonable, as the studio is not soundproof. Respect all common areas, bathrooms, and the parents' lounge.

LIGHTING

  • The studio primarily uses natural light, which varies throughout the day. You are welcome to bring additional lighting equipment if needed.

WASHROOMS

  • Washrooms are not located inside The Nook Studio.
    They are available down the hall in the shared common area of the ActivityPlex. Please be respectful of all common spaces and other tenants when using these facilities.

changing area

  • There are no designated change rooms inside The Nook Studio. Clients may change in the washrooms located down the hall, or in “the nook” area of the studio, if privacy allows. Please plan accordingly and allow time for changing within your booked studio time.

SECURITY & LIABILITY

  • A security camera monitors entry and exit. Additional charges will apply for early or late entry. Renters are responsible for securing appropriate insurance coverage. The Nook Studio is not liable for any injury, loss, damage, or theft that occurs during your session.
